Ready-to-Use Sworn Translation Services Contract Template
This sworn translation services contract template helps clients and qualified translators record the terms of a certified translation assignment. It covers the documents involved, language pair, delivery date, fees, confidentiality, revisions, certification statements, and the responsibilities of each party.
A sworn translation services contract records the terms under which a qualified translator will translate and certify a document for official use. It helps both the client and the translator define the language pair, scope of work, fee, deadline, and delivery format before work begins. A clear written agreement can reduce misunderstandings about certification wording, source-document quality, and revision requests. This template is particularly useful where translations may be submitted to courts, public authorities, educational institutions, or immigration bodies.
Purpose of a Sworn Translation Contract
A sworn translation is generally a translation completed by a translator who has been authorised, appointed, licensed, or otherwise recognised under the rules applicable in the relevant jurisdiction. The contract should state that the translator will provide services within the limits of their professional status and authority.
Requirements differ widely between countries and receiving institutions. A certification accepted by one authority may not be sufficient for another, so the client should identify the intended recipient and any format requirements before commissioning the work.
Who should use this template?
This agreement can be used by an individual translator, a translation agency, a business client, or a private client. It is suitable for birth certificates, academic records, corporate documents, powers of attorney, court documents, and similar materials requiring an official or certified translation.
Key Terms to Include
The agreement should identify the parties, the documents to be translated, the source and target languages, and the estimated word count or page count. It should also specify whether the assignment includes a certification statement, a translator's stamp or signature, hard copies, electronic copies, notarisation coordination, or other related services.
| Contract field | Purpose | Common error to avoid |
|---|---|---|
| Source document | Defines exactly what is to be translated | Failing to list attachments, pages, or versions |
| Language pair | States the source and target languages | Using vague descriptions such as “into English” |
| Delivery deadline | Sets the expected completion date and time | Not allowing for late receipt of readable materials |
| Fee and payment terms | Explains price, taxes, deposit, and due date | Omitting extra charges for urgent work or hard copies |
| Certification format | Clarifies the required certificate or declaration | Assuming every authority accepts the same format |
Scope, Quality, and Certification
The scope clause should explain whether the translator is expected to reproduce seals, stamps, handwritten notes, tables, formatting, or illegible portions. It should also make clear that the translator will translate the content faithfully and identify any text that cannot reasonably be read from the supplied copy.
A certification clause should describe the statement to be issued, if any. The client should understand that a translator cannot guarantee that a third party will accept a translation, particularly where that party has separate notarisation, apostille, legalisation, or formatting requirements.
Handling incomplete or poor-quality documents
If the source file is blurred, cropped, incomplete, or altered after the quotation, the translator should be entitled to request a clearer copy, adjust the deadline, or revise the price. This protects accuracy and avoids certifying a translation based on unreliable source material.

Frequently Asked Questions
Is a certified translation the same as a sworn translation?
Not always. The terminology and legal effect depend on the country and the requirements of the authority receiving the document. Confirm the required form of certification in advance.
Can the translator guarantee acceptance by an authority?
No. A translator can provide the agreed translation and certification, but acceptance remains the decision of the court, agency, school, embassy, or other recipient.
May the client request changes after delivery?
Yes, but the contract should distinguish between correction of translation errors and changes caused by a revised source document, new instructions, or a change in the requested format.
