Ready-to-Use Seasonal Rental Agreement Template
A seasonal rental agreement template helps property owners and guests record the essential terms of a temporary stay. It covers the property, rental period, payment, security deposit, permitted use, utilities, inventory, cancellation, and signatures, helping both parties avoid misunderstandings.
A seasonal rental agreement records the terms under which a property is let for a temporary, non-primary-residence stay. It is commonly used for holiday homes, business travel, temporary relocation, or other fixed-term accommodation needs. A clear written agreement helps the owner and guest understand payment, occupancy, care of the property, and departure obligations. The template should be adapted to the applicable law and to the actual arrangements between the parties.
What a seasonal rental agreement covers
A seasonal rental agreement is intended for a defined, temporary period and should state that the premises are not being rented as the guest's principal residence. It identifies the owner or authorised agent, the guest, the rental property, and the agreed arrival and departure dates.
It should also describe the financial terms, including rent, payment dates, any booking payment, security deposit, and charges for utilities or cleaning. Clear wording reduces disputes over what was included in the price.
Key details to include
The agreement should contain enough information to identify the property and the parties without ambiguity. If the property is furnished, an inventory and condition report should be attached or incorporated by reference.
| Document field | Purpose | Common error |
|---|---|---|
| Property address | Identifies the rented premises | Leaving out unit, floor, or parking details |
| Rental period | Sets arrival and departure dates and times | Stating dates without check-in and check-out times |
| Rent and payment schedule | Explains the total amount and due dates | Not specifying payment method or currency |
| Security deposit | Defines the amount and return conditions | Failing to state permitted deductions |
| Occupancy limit | Controls authorised use of the property | Not naming or limiting additional guests |
Property condition and inventory
Record the condition of the premises at check-in and check-out. An itemised inventory, dated photographs, and meter readings can provide practical evidence if there is a disagreement about loss, damage, or excessive consumption.
Payments, deposits, and charges
Specify the total rent, advance payment, balance due date, accepted payment method, and any taxes or service fees. The agreement should make clear whether utilities, internet, parking, linens, cleaning, or local visitor charges are included.
A security deposit is generally held to cover unpaid amounts, missing items, or damage beyond ordinary wear and tear. State when it will be returned and whether the owner may make documented deductions.
Useful payment checklist
- Total rental amount and currency.
- Booking payment amount and due date.
- Balance payment deadline.
- Security deposit amount and holding arrangements.
- Included and excluded utility or service charges.

Occupancy, use, and house rules
Set the maximum number of occupants and list the people authorised to stay at the property. State whether pets, smoking, parties, subletting, or commercial activity are permitted, prohibited, or subject to written consent.
House rules may address quiet hours, waste disposal, parking, pool or equipment safety, and access for urgent repairs. Rules should be reasonable, clearly communicated, and consistent with applicable law.
Practical recommendation: complete and sign a check-in inventory with photographs before keys are handed over, then repeat the process at departure.
Cancellation, termination, and handover
The agreement should state the cancellation terms, including notice periods, refund conditions, and the treatment of any booking payment. It should also describe what happens if the property becomes unavailable or if either party materially breaches the agreement.
- Confirm the parties' identities and contact details.
- Complete the property description, rental dates, and occupancy details.
- Agree on payment, deposit, cancellation, and house-rule terms.
- Sign the agreement and retain a copy with the inventory.
At the end of the stay, the guest should return all keys, remove personal belongings, and leave the property in the agreed condition. The owner should inspect the premises promptly and communicate any proposed deposit deductions with supporting information.
Frequently asked questions
Is a seasonal rental agreement the same as a residential lease?
Not necessarily. A seasonal agreement is usually designed for a temporary stay rather than occupation as a principal home, but the legal distinction depends on the facts and local law.
Should the agreement include a security deposit?
It is often advisable where permitted, especially for furnished properties. The agreement should state its amount, purpose, handling, and return procedure.
Can the owner enter the property during the stay?
Access should be limited to emergencies, necessary repairs, or agreed inspections, subject to any notice and privacy rules required by applicable law.
