Ready-to-Use Room Rental Agreement Template

A room rental agreement template helps a homeowner, primary tenant, or landlord define the terms for renting a private room in a shared property. It covers rent, payment dates, deposits, utilities, access to common areas, house rules, notice periods, and signatures, helping both parties record their expectations in writing.

A room rental agreement records the conditions under which one person rents a bedroom within a shared home or apartment. It is useful where the owner, landlord, or main tenant continues to occupy or manage the property. A clear written agreement can reduce misunderstandings about rent, shared spaces, bills, and household expectations. The document should be adapted to the laws that apply where the property is located.

What a Room Rental Agreement Covers

Unlike a lease for an entire dwelling, a room rental agreement normally grants the occupant use of a specified private room and shared use of agreed common areas. It should identify the property, the room, the people involved, and the duration of the occupancy.

The agreement should also state whether the arrangement is fixed-term or periodic, as this affects renewal and notice requirements. Local law may give the occupant rights that cannot be excluded by contract.

Private and Shared Areas

Describe the rented room precisely and list the shared areas, such as the kitchen, bathroom, living room, laundry area, garden, or parking space. State any restrictions on access or use in a reasonable and non-discriminatory manner.

Key Information to Include

Complete the essential terms before signing. Avoid relying only on verbal promises, especially for payments, utilities, deposits, or notice arrangements.

Document fieldPurposeCommon mistake
Rented roomIdentifies the private space assigned to the occupantFailing to state which bedroom is included
Rent and due dateSets the amount, frequency, and payment deadlineNot saying whether rent is weekly or monthly

Notice periodStates how termination notice must be givenUsing a period that conflicts with mandatory law

Rent, Deposits, and Household Costs

State the rent amount, currency, payment method, due date, and any late-payment process permitted by law. If a deposit is collected, record the amount, its purpose, where it will be held if required, and the conditions for its return.

Utility Contributions

Specify whether electricity, gas, water, internet, council taxes, and other charges are included in rent or divided separately. If costs are shared, explain the formula, due date, and how supporting bills can be reviewed.

  • Identify every person responsible for payment.
  • State the exact rent amount and payment frequency.
  • Record all deposits and receipts.
  • List included and excluded utilities.
  • Set reasonable rules for common areas and guests.

House Rules and Practical Arrangements

House rules can address cleanliness, waste disposal, smoking, noise, pets, guests, parking, keys, and use of shared facilities. They should be clear, proportionate, and consistent with applicable housing, privacy, and anti-discrimination laws.

An inventory and condition report, ideally with dated photographs, can help establish the state of the room and furnishings at move-in. Both parties should receive a signed copy of the agreement and any inventory.

Keep written records of rent payments, repairs, notices, and any agreed changes to the arrangement from the first day of occupancy.

Signing and Managing the Agreement

Read the completed document carefully before signing, and ensure that all blank spaces are completed or marked as not applicable. Each party should sign and date the same final version.

  1. Confirm the legal identity and contact details of both parties.
  2. Describe the room, common areas, furniture, and services.
  3. Agree on rent, deposit, bills, term, and house rules.
  4. Sign, date, and provide a copy to each party.

Frequently Asked Questions

Can a room rental agreement be ended early?

It may be ended early by mutual written agreement or in accordance with a valid break clause, notice provision, or applicable law. Mandatory local rules may determine the minimum notice required.

Is a security deposit always allowed?

Deposit rules vary by jurisdiction. Some places limit the amount, require protected holding arrangements, or prescribe deadlines and procedures for returning the deposit.

Can the landlord enter the rented room at any time?

Usually, access to a private room is subject to privacy rights, notice requirements, and exceptions for emergencies. The applicable law and the agreement should be checked before entry.
