Ready-to-Use Residential Moving Services Contract Template
A residential moving services contract records the agreement between a customer and a moving company for packing, loading, transport, delivery, and related services. This ready-to-use template helps define the moving date, price, inventory, insurance, liability, payment schedule, and claims process clearly.
A residential moving contract is a written agreement between a customer and a moving provider for the transport of household belongings. It should identify the parties, collection and delivery addresses, moving dates, agreed services, price, and payment terms. A clear document also helps allocate responsibility for packing, access restrictions, loss, damage, delays, and claims. Using a written contract can reduce misunderstandings before moving day.
What a residential moving contract covers
This agreement sets out the practical and financial terms for a household relocation. It may cover packing, dismantling furniture, loading, transport, storage, unloading, reassembly, and disposal of packing materials.
The contract should state whether the quotation is fixed, estimated, or calculated by time, weight, volume, or distance. Any taxes, fuel charges, parking costs, stair-carry fees, tolls, or other additional charges should be stated separately.
Services and exclusions
Describe the services precisely and list items or tasks that are excluded. Movers commonly exclude hazardous materials, perishable goods, cash, jewellery, important personal documents, and goods requiring specialist handling unless agreed in writing.
Details to include before signing
Both parties should review the operational details before the move. The customer should give accurate information about the volume of goods, difficult access, lifts, parking restrictions, and special items.
| Contract field | Purpose | Common error |
|---|---|---|
| Collection and delivery addresses | Identifies where goods are collected and delivered | Omitting flat numbers, access codes, or parking information |
| Moving date and time window | Sets the expected collection and delivery schedule | Failing to state whether dates are guaranteed or estimated |
| Price and payment schedule | Explains the total charge, deposit, and balance due | Not identifying additional charges and taxes |
| Inventory and declared value | Records the goods and supports later claims | Leaving valuable or fragile items off the list |
| Liability and insurance | States limits, cover, exclusions, and claim procedures | Assuming standard cover replaces adequate insurance |
Inventory and condition records
An inventory is especially useful for large, valuable, fragile, or unusual items. Photographs and a pre-move condition report can provide a useful record, provided both parties can identify when they were created.

Key terms to review carefully
Read the pricing, cancellation, delay, liability, and claims clauses closely. A service provider may limit liability under applicable law or contract terms, while separate insurance may offer broader protection.
- Scope of packing, transport, storage, and delivery services.
- Collection and delivery dates, time windows, and access requirements.
- Fixed price, estimate basis, deposits, taxes, and extra fees.
- Responsibility for fragile, high-value, restricted, or hazardous items.
- Insurance, liability limits, notice periods, and claims procedures.
Ask for all additional charges and liability limits in writing before paying a deposit or confirming the moving date.
How to use the template
Complete the document with accurate contact details and attach any inventory, quotation, or special handling instructions. Each party should receive a signed copy, together with any terms and conditions incorporated into the agreement.
- Enter the customer and moving provider details.
- Specify the addresses, dates, services, and access arrangements.
- Insert the agreed price, payment timing, and any additional charges.
- Review the inventory, liability terms, then sign and retain copies.
Liability, insurance, and claims
The contract should explain what happens if goods are damaged, lost, delayed, or delivered to storage. It should state any applicable liability cap, exclusions, insurance options, and the time limit for notifying the provider of a claim.
Customers should check whether their home, contents, travel, or separate moving insurance applies to the relocation. The provider should describe the cover offered and any declaration-of-value requirements in clear terms.
Frequently asked questions
Is a moving estimate the same as a fixed price?
Not necessarily. An estimate can change if the actual work, volume, access, waiting time, or services differ from the information provided. A fixed price should state the conditions under which it remains fixed.
Should I list every item being moved?
A full inventory is strongly advisable for valuable, fragile, or numerous belongings. At minimum, list major furniture, boxes, specialist items, and any goods requiring special handling.
Can I cancel a residential moving contract?
Cancellation rights and fees depend on the contract terms and the law that applies. Review the cancellation clause, especially where a deposit has been paid or the provider has already started preparations.
