Ready-to-Use Party Decoration Contract Template
This party decoration contract template helps clients and decorators set clear expectations for an event. It covers the scope of decoration services, event details, payment schedule, materials, setup and removal times, client responsibilities, changes, cancellation, and liability arrangements.
A party decoration contract records the agreement between a client and a decorator for styling an event venue. It helps both parties define the theme, materials, setup schedule, charges, and responsibilities before work begins. A written agreement reduces the risk of misunderstandings about what is included in the decoration service. It can be used for birthdays, weddings, corporate gatherings, baby showers, anniversaries, and other celebrations.
Purpose of a Party Decoration Contract
A party decoration contract sets out the practical and commercial terms for designing, supplying, installing, and removing event decorations. It should identify the parties, the event venue and date, the selected decoration package, and the agreed price.
It also provides a record of special arrangements, such as venue access restrictions, safety requirements, hired equipment, and responsibility for damage. The document should be signed before the decorator purchases custom or non-refundable materials.
Essential Information to Include
Describe the services precisely enough that both parties can tell what will be delivered. Avoid relying only on broad labels such as “premium decoration” unless the package contents are listed in an attachment or itemized schedule.
| Contract field | Purpose | Common mistake |
|---|---|---|
| Event date and venue | Identifies where and when services must be performed | Leaving out venue access or setup hours |
| Scope of decorations | Lists agreed items, colours, themes, and areas to be styled | Using vague descriptions without quantities |
| Fee and payment schedule | States the total charge, deposit, and due dates | Not saying whether the deposit is refundable |
| Setup and removal | Allocates installation and dismantling duties | Ignoring the venue’s collection deadline |
| Changes and cancellation | Explains how changes are requested and charged | Failing to address late cancellations |
Scope of Services
List every agreed component, such as balloon installations, backdrops, table styling, floral arrangements, signage, lighting, chair covers, props, and delivery. Specify whether materials are hired, purchased, disposable, or retained by the decorator after the event.
Venue Requirements
The client should disclose venue rules before services are confirmed. Some venues prohibit candles, adhesives, helium balloons, wall fixtures, open flames, or access outside specified loading times.

Payment, Deposits, and Additional Costs
The agreement should state the total fee, currency, payment method, deposit amount, and final payment deadline. It should also identify foreseeable extra charges, including travel, parking, rush requests, additional labour, venue waiting time, or replacement of damaged hired items.
- State the amount and due date of the booking deposit.
- Specify whether the deposit is refundable or transferable.
- Set the deadline for the final balance payment.
- Identify taxes, delivery charges, and travel costs where applicable.
- Explain charges for approved work outside the original scope.
Planning the Setup Process
A practical contract coordinates the work with the event timetable and venue conditions. The decorator needs enough access time to deliver, install, inspect, and remove the decorations without disrupting other suppliers or guests.
- Confirm the event date, address, venue contact, and access hours.
- Approve the design brief, colour palette, item list, and quotation.
- Pay the required deposit and provide final guest-area information.
- Carry out setup, handover, event removal, and any agreed collection of hired items.
Attach an approved design board, quotation, or itemized inventory to the contract so that visual expectations are recorded in writing.
Changes, Cancellation, and Liability
The contract should require changes to be agreed in writing and should clarify whether revised work affects the fee or timetable. A cancellation clause can set out the consequences of cancellation at different stages, especially where custom items have been ordered or work has already started.
It is also sensible to allocate responsibility for venue damage, loss of hired props, unsafe conditions, and delays caused by the client or venue. Any limitation of liability should be drafted in accordance with applicable law and should not attempt to exclude rights that cannot legally be excluded.
Frequently Asked Questions
Who should provide the venue rules?
The client should provide the decorator with the venue’s written rules, access schedule, safety instructions, and contact details as early as possible. The decorator should review those requirements before confirming the final design.
Can the design be changed after signing?
Yes, if both parties agree in writing. The contract should state that changes may affect the price, material availability, setup time, and delivery schedule.
Should hired decorations be inventoried?
Yes. An itemized inventory helps identify hired props, their condition, collection arrangements, and any replacement cost if items are lost or damaged.
