How to complete the receipt

Complete the form in the presence of both parties whenever feasible. Check the physical items against the list before signing, and make a copy or scan for each party.

  1. Enter the place, date, and full details of the delivering and receiving parties.
  2. Identify the property or item to which access is being provided.
  3. List every key, card, fob, remote control, and related device with its quantity and condition.
  4. Have both parties sign and retain a dated copy of the receipt.
For better security, record the identifier or serial number of each access device and immediately report any missing or unreturned item.

For a tenancy, store the receipt with the lease, inventory, inspection report, and deposit records. In a workplace, keep it with the access-control or personnel file, subject to applicable privacy and record-retention rules.

Security and responsibility considerations
