How to prepare and issue the quotation

Inspect the site before pricing whenever possible, take measurements and confirm the client’s requirements. Keep notes, photographs and supplier prices supporting the calculation, especially for extensive or technically complex work.

  1. Meet the client and inspect the renovation site.
  2. Define the scope, specifications and exclusions.
  3. Calculate labour, materials, overheads, taxes and contingency where appropriate.
  4. Send the dated quotation and request written acceptance before scheduling work.

Use clear descriptions and written change approvals: a low price is not useful if the client cannot tell what the price includes.

Acceptance, timing and project control

Set out the estimated start date, anticipated duration and any dependencies, such as access to the property, permit approval, client-supplied materials or other trades. Make clear that unforeseen site conditions can require a revised price or timetable.

Acceptance should be recorded in writing by an authorised client representative. Once accepted, retain a signed copy of the quotation together with any drawings, specifications and approved variations.

Frequently asked questions

Is a quotation the same as an invoice?

No. A quotation is an offer or proposal issued before the work is performed, while an invoice is a request for payment for goods or services supplied or due under agreed terms.

Should the quotation include a deposit?

It may include a deposit if this is permitted by applicable law and agreed by the parties. The amount, due date, purpose and conditions for refund or retention should be clearly stated.

What happens if the client changes the work?

The contractor should issue a written variation setting out the additional or reduced work, price adjustment and effect on the schedule. Work should normally proceed only after the variation is accepted.
